SHBP Systems Access Deactivation

90 Days Preview

To ensure the security and integrity of the State Health Benefit Plan (SHBP) systems, it is essential to manage and deactivate access for users who no longer require it. This policy outlines the circumstances under which SHBP systems access will be deactivated and the procedures for doing so.

For security reasons, your access will be deactivated after 90 days of inactivity.  A new Access Agreement is needed to regain the SHBP systems access. 

SHBP recommends that all Designated Benefits Administrators (DBA’s) access the Enrollment Portal, SHRT, (X)change, EASI, EASI-R at least once a month to maintain access. 

When Access should be Deactivated

Access to SHBP systems should be deactivated under the following circumstances:

  • Employment Termination: When an employee leaves their position or is terminated.
  • Role Change: When an employee's role changes, and they no longer require access to specific SHBP systems.
  • Extended Leave: When an employee is on an extended leave of absence and access is deemed unnecessary during this period.
  • Security Concerns: If there are security concerns or evidence of misuse of SHBP systems.

Deactivation Process

  • Notification: The Human Resources/Benefits department or the employee's supervisor complete SHRT Access Agreement to ‘Remove’ or ‘Deactivate’ access.
  • Deactivation: Access will be deactivated within 3 business days of verification. The employer will be notified of the deactivation via email.
  • Record Keeping: A record of the deactivation will be maintained for audit purposes.

Reactivating Access

If your access has been deactivated due to inactivity or other reasons, you will need to complete required document to regain access:

  • Ensure to access SHRT at least once every thirty (30) days.
  • Notify SHBP Employer Services promptly to avoid unauthorized access.
  • Regularly review and update user access to maintain security.
