  • The Employing Entity Report

 The Employing Entity report is produced and posted monthly to SHRT for employer review and audit. We recommend employers use this existing report to identify any non-employee members and transmit data to SHBP|ADP to remove it from the file.   • How to audit the Employing Entity Report

One effective approach is to audit and clean the data by Hire Date. 

  1. Sort the Employing Entity Report by the "Hire_Date" column in ascending order;
  2. Review the oldest of Hire_Date first, as these records may be outdated or require verification;
  3. Then sort the report by "Birth-Date" column in ascending order;
  4. Verify the employment status and eligibility of members nearing retirement age or those who may have left the company due to age-related reasons.
  •   Break Down to Smaller Report

For large reports, it can be beneficial to break them down into smaller, more manageable reports based on the year of the hire date or your data point of choice. The example strategy is to:

  1. Group report by Year: After sorting the report in ascending order based on "Hire_Date", group the records based on the year of hire date. 
  2. Split into separate files: Once the records are grouped by year, split them into separate files. Each file should contain records belonging to a specific year of hire.

This approach can simplify the data cleaning process, improve efficiency, and identify non-employee members more effectively.
